Saving copy of email attachments when filing email as a new action item

Within the Outlook add-in, when I select the “File in Project” button I am presented with an option to “Save copy of attachments separately” as part of the filing action.  However, if i choose to “File as | New Action Item” from the Outlook add-in, the option to save the attachments separately is not there and I have to save the attachments manually from within Project Center.

Would it make more sense to have the save attachments option be available through both of the filing actions mentioned above?

Hi Matt,

This is a request that we have heard recently from a couple of customers and it is something we are considering for a future release.  I will add your comment to the feature request.  Keep up the great suggestions!

Again related to filing email attachments, are there any plans to add automatic cross-references to emails that get filed and have their attachments saved elsewhere in the project?  Perhaps a mechanism to automatically strip the attachment from the email when it is filed as well?

I recognize there are times when original email messages should be kept intact for a variety of reasons, but there are many times in our business processes where email attachments just become a waste of storage space.  And the potential to have an attachment stored on the file server within the email filed in Project Center as well as saved off within the project folder structure is a double-jeopardy storage issue that I’m looking for ways to help alleviate.

Hi Matt,

One area where we are particularly sensitive is storing emails in exact form for integrity of the system should a litigation incident occur.  By altering the email, we are taking away the legitimacy of the message and risking data loss should the attachment not be retrievable.  It is our experience that system integrity is critical for a firm.  That being said, we don’t have plans for this currently, but I certainly welcome input from others that are interested in this topic.

I knew that was the reasoning behind the current method of operation.  There are just so many other ways to affect/modify the content of the emails once they are saved on the file server (unless direct access to that folder is restricted, which then limits the ability to save and search the emails in Newforma by the general project team) that I was wondering how much worse this type of attachment modification would make the situation.  IANAL (I am not a lawyer) and so am not in a good position to comment on this.  If I have some time I’ll pose this question to our company’s legal counsel and see what they say.
