adding external people to the project team

i am trying to add an external person to one of my projects.  i add them as a team member, it sends an automated message with a username and password but doesnt tell them what project it is for.  how do i make the addition project specific?

Before I babble on, if anyone knows how to disable the automated email ***when a team member is added*** please let me know - in our experience it’s quite confusing to external recipients of the email if they’ve never used NIX before - they think they’re supposed to get something, even though the content doesn’t say that.  :(  If that ext. member’s NIX usage will be strictly downloading what we post, they should get no such email until they’ve had something shared/posted to them.  That would eliminate the confusion WE’RE getting.  And I’d hate to modify the verbage of it to basically say “you may or may not have something waiting for you, this email merely is letting you know you might need to login to NIX now”.


But back to the topic, I’m not sure I follow:  you added John Doe as a NIX-enabled ext. member of Project X.  So now, what makes you feel they’re not explicitly-tied to Project X?  ...because the generic, automated email (that every NIX ext. member, regardless of Project receives) does not specify?

because the message doesnt tell them what project they are added to.  if they have never used newforma before, how are they suppose to know what project they are addded to,.

I am relatively new to Newforma and have successfully used NIX with two consultants who didn’t know anything about it.  In both cases, I managed their expectations.  I called/emailed them and said “I am about to add you to this project in NIX…” explained everything and told them to expect an email.  After that, both jumped on the site and both have said the process was very easy.  Oh, and I didn’t give them NIX access until they needed NIX access - that is a good approach for first timer’s.

I suggest that one of the answers to this post is improved contact management.  Newforma cannot do all of those things for us.  If it is your contact’s first interaction with Newforma, then tell them what you are about to do.  And, use it to market your firm, I did, “We are introducing a new product that will improve our file transfer and give us all a tool for design and construction.  It is very easy to use and free, just log on, etc…”.  Worked great and I ended up looking like an innovator to them…

We’re slowly rolling it out to specific contacts on specific projects and so far I’ve got to be honest: everyone’s response is an emphatic “that was easy”.  Now, similar to the prior poster’s comments, we ARE sending a pre-emptive email of “please let me know of any problems you might have in this experience” but so far nobody has had any difficulty that we’re aware of. 

Going back to the project-specific email concept… what if you have an ext. Team Member part of 50 projects… you really want them to get 50 emails for each project they’re part of?  And the ext. Team Member would like to see these 50 emails too?  ...could be possible… but I also think the high-odds are on ext. Team Members not wanting that much notification in their inbox and/or not caring.
