Project Timeline Updates

Now this will be my guide. I’m trying to do the same thing so i hope i won’t be having the same issues like you did. Thanks for sharing all the information.

Hi Jon,

I just checked it out and it looks like http is now enabled so you should be all set. Please let us know if there are any further problems. I’ve spoken with our install engineer and he is looking to see if he can figure out what might have gone wrong. If we need any more info from you for troubleshooting we’ll let you know.

Hi Jon,

I spoke a bit with Adam about this. It looks like one of the settings on the web server is incorrect. The calendar downloads happen over http and it looks like the “require https” checkbox is checked for the downloadweb virtual directory in IIS. This setting can be found in the web server administration tool. Click properties on the DownloadWeb virtual directory and go to the Directory Security tab. Click the Edit button under Secure Communications and make sure the top 2 checkboxes are off.

This is supposed to be set by the installer and may fail under certain circumstances. We will look into this a bit and make sure that value is being set properly.

Hi Adam,

That seemed to help. Now, when I try to subscribe, I’m asked for a login and password. The user name and password I typically use when accessing Info Exchange don’t seem to work. Is there a special access requirement, or different login and p-word I need?

I’ve attached screen shots of the dialogs I get.

Hi Jon,

It sounds like this project’s calendar isn’t set to be displayed on Info Exchange. To do that, go to page 4 of the project settings wizard for that project and make sure the “Display Calendar on Info Exchange” option is checked. Once that option is set, the calendar should show up on Info Exchange, and the “Export to Outlook Calendar” task should change to “Add to Microsoft Outlook and subscribe to updates.” Then you should be able to choose that task and your project calendar subscription should be all set.

Adam,
Now have tried both steps you described above. Using the first method, I don’t see the option you describe in the Task bar. I see instead only “Export to Outlook Calendar.” Nevertheless, I selected that option and, voila, the schedule appears in my Outlook calendar. But, updates still do not show up in Outlook.
So, I thought I should go to the Info Exchange site for the project. I go there, but don’t see the Project Calendar there. I assume the calendar still has not been published.
What am I doing wrong?

I’ll try to “kill” the current calendar subscription, and try again using one of the methods you describe. I find the online help documentation regarding the Timeline features and workflow are not very helpful to me. I wish you would make some improvements on the ease of use for this in the future. As it is, I’m testing the integration of Timeline with Outlook for the rest of the firm. Currently, I’m not sure I will make the recommendation to implement this feature as a standard in our daily process.

There are two ways to subscribe to the calendar and have it automatically update. The first is to go to the project timeline activity center inside Newforma Project Center and click on the task “Timeline Utilities - Add to Microsoft Outlook and subscribe to updates.” The second way is to go to the Info Exchange site for the project, go to the Project Calendar, then click on the link at the top of the page that says, “Outlook 2007 users, click here to download and subscribe to Outlook calendar (ICS file).” Both of these methods will have the same effect of creating a new calendar inside Outlook that will periodically update itself to the latest project calendar.

I followed the instructions in the Task bar when publishing the schedule. I sent out an e-mail that had a small file attached (added automatically by Newforma). Do those who want to subscribe (including myself) instead need to navigate to Info Exchange and search for the calendar there?

Hi Jon,

You should not have to republish the timeline after each revision, it should be updated automatically within 60 minutes. However, certain items like phases and holidays are not included in the published calendar. Also, any items that occur more than 3 months in the past will not be included. So if you add any of those types of items, they will not be shown in the updated calendar.

Also, how are you publishing the calendar to Outlook. If the project is on Info Exchange, the calendar should get automatically uploaded to the Info Exchange server without you ever having to manually “publish” it. Then any user that wants to subscribe to it can choose the “Add to Microsoft Outlook and subscribe to updates” task in the project timeline activity center, and any changes to the project calendar should be reflected in the user’s Outlook calendar within about 60 minutes. Any other way of sharing the calendar from NPC will just import it, and the calendar won’t be updated automatically.

I’m trying to maintain a project calendar in Newforma. Initially, I was successful in creating and then publishing the project timeline to other internal members using Outlook 2007. Subsequent additions to the timeline are not being published to the Outlook Calendars, however. We selected the “subscribe to updates” option. Are we missing something? Do I have to publish the timeline after each revision?
