Should I setup Project Email Addressing?
As of Seventh Edition, Newforma offers a new feature that allows project team members to file email to a project simply by adding a project email address on the ‘To:’ or ‘CC:’ line of a message. This is especially helpful for smart phone users to file messages directly to the project on the fly. Also, the existence of the project email address on the ‘To:’ or ‘CC:’ line let’s you know the email has already been filed. This can lead to additional efficiency - everyone on the email thread doesn’t have to file the email. In fact, if everybody uses ‘reply all’, only one person has to perform a ‘filing action’ for an entire conversation to be saved.
If your users have the Add-In, they can use the send-and-file button. Without the add-in, Project Email Addressing is the only way to send an email and file it in one step. If your environment is not compatible with the Add-In, the use of Project Email Addressing is recommended. Before diving into the setup of this feature, there are a few pre-requisites that need to be met before we can assist:
1. Configure an MX record that points to the Info Exchange server. (For instance, you could create a record that directs emails addressed to “@projects.mydomain.com” to route to “infoexchange.mydomain.com”.)
2. Ensure that the inbound TCP port 25 to the Info Exchange server is open on the firewall.
3. If you are using Microsoft Exchange, you will need to create one new mailbox dedicated to this service. (For instance, you could call this something like “projectemail@mydomain.com”.)
