Seventh Edition

This is a brief overview of the Newforma agendas with learning objectives (LO) and approximate times for each. This will allow you to customize training based on your company needs.

For classes totaling 60 minutes or more, AIA learning units may be available. Ask your trainer or email .(JavaScript must be enabled to view this email address).

Express + Info Exchange—90 minutes

In this training the following activity centers are included: Project Files, Search, Project Email, Project Team, Viewer/Markup, Transmittals, and Info Exchange.

• LO#1: Participants will learn how to organize, manage, and search internal project information, including project email and attachments, for all projects.
• LO#2: Participants will learn how to electronically review, mark up, and comment on sets of project drawings while providing an audit trail of the decisions in a design review.
• LO#3: Participants will learn how to share and track published project information with external team members.
• LO#4: Participants will learn how to establish and set up project team members for their projects.

Search—30 minutes

In this training the Newforma user will learn how to find project information that is stored on the project server without having to know where the source file is located.

• LO#1: Participants will learn how to search documents and drawings using wildcards.
• LO#2: Participants will learn how to search the search results.
• LO#3: Participants will learn how to search multiple projects.
• LO#4: Participants will learn how to search specific project folders.

Project Email—30 minutes

In this training the Newforma users will learn how to file emails to the project to make them available to the internal project team for better project communication and to establish a complete record of all the communication of the project when the project is archived.

• LO#1: Participants will learn how to file emails from Microsoft Outlook to a specific project.
• LO#2: Participants will learn how to file an attachment to another project location.
• LO#3: Participants will learn how to file emails to a project and link them to an action item, submittal, RFI, transmittal, and a timeline event.
• LO#4: Participants will learn how to view a thread of emails or conversation that has been filed using Newforma Project Center.

Project Files—30 minutes

In this training the Newforma user will learn how to access the project information through Newforma Project Center instead of using Windows Explorer. Using Project Center will allow for quick access and enhance how the information is being used and distributed.

• LO#1: Participants will learn how to quickly access files and filter the project information by file type.
• LO#2: Participants will learn how to publish folders and post files to Info Exchange.
• LO#3: Participants will learn how to create record copies of files.
• LO#4: Participants will learn how to audit external references.

Transmittals—30 minutes

In this training the Newforma user will learn how to create physical and electronic transmittals to keep a record of all the drawings and documents that are coming in and going out of the office.

• LO#1: Participants will learn how to create physical and electronic transmittals.
• LO#2: Participants will learn how to log an incoming transmittal from MS Outlook.
• LO#3: Participants will learn how to send files to a drag and drop location.
• LO#4: Participants will learn how to compare previous transmittals that were sent or received.

Compare—30 minutes

In this training the Newforma users will learn how to find changes that have been made between successive versions of drawings, project folders and files, document sets, or transmittals. The Compare function is available throughout Project Center.

• LO#1: Participants will learn how to track down and eliminate unintended or undocumented revisions that could otherwise lead to cost and time.
• LO#2: Participants will learn how to compare graphical file formats such as PDF or a raster image file type.
• LO#3: Participants will learn how to electronically review, mark up, and comment on sets of project drawings while providing an audit trail of the decisions in a design review and share the comparisons with external team members.
• LO#4: Participants will learn how to create an animated comparison and save this as a shareable GIF file.

Document Sets—30 minutes

In this training the Newforma user will learn how manage a project’s key deliverables and keep information related to a particular task together without moving or in any way affecting the underlying files.

• LO#1: Participants will learn how to organize and manage virtual file folders.
• LO#2: Participants will learn how to electronically publish a document set to Newforma Info Exchange.
• LO#3: Participants will learn how to create milestones by creating record copies of the document set.
• LO#4: Participants will learn how to manage key project deliverables without moving underlying files.

Info Exchange—30 minutes

In this training the Newforma user will learn how Newforma Info Exchange enables you to easily send, receive, and track electronic file transfers of any size. You can use it to send project files to anyone in the internal or external project team, or even anonymous users.

• LO#1: Participants will learn how to transfer files electronically and attach a transmittal.
• LO#2: Participants will learn how to access an audit trail of the downloaded files by external team members.
• LO#3: Participants will learn how to receive incoming transfers by the external team member.
• LO#4: Participants will learn how to help external team members in sending transfers, RFIs and submittals.

Markup/Viewer—30 minutes

In this training the Newforma user will learn how the Newforma Viewer enables you to quickly mark up and annotate any CAD, PDF or raster an image file of type PNG, JPG, BMP, GIF, or TIF. Source file, and send a PDF of the markup via email or Newforma Info Exchange.

• LO#1: Participants will learn how to use the markup tool with the different options to annotate a drawing.
• LO#2: Participants will learn how to create a PDF to send to external team members via email or Info Exchange.
• LO#3: Participants will learn how to save the markup session for other internal users to review and comment.
• LO#4: Participants will learn how to print a report that includes markups and all notes created in a markup session.

Project Timeline—60 minutes

In this training the Newforma user will learn how to add events to the Project Calendar function, import items from Microsoft Project, view their project calendar in Outlook 2007, view events based on a defined time frame in the various views of project timeline for reporting and tracking.

• LO#1: Participants will learn how to create events in project timeline.
• LO#2: Participants will learn how to import events from Outlook or Microsoft Project.
• LO#3: Participants will learn how to view events in the various views:  Calendar, Journal or Event logs.
• LO#4: Participants will learn how to filter timeline events to create custom reports.

Project Team—30 minutes

In this training the Newforma user will learn how to assemble, manage, and group project teams, generate project team reports, and view the active items and historical activity associated with each team member.

• LO#1: Participants will learn how to create team members.
• LO#2: Participants will learn how to give Info Exchange access to team members.
• LO#3: Participants will learn how to create a project team report and review active items for each team member.
• LO#4: Participants will learn how to add project team members from Outlook Contacts and import a Newforma team member contact into Outlook Contacts.

Record Copies—30 minutes

In this training the Newforma user will learn how to track and compare all record copies for the current Project Center project. The contents of each record copy are shown in the Files tab, which lists the files in the record copy’s ZIP file, and the Related Items tab, which lists the Project Center items in the record copy.

• LO#1: Participants will learn how to create a record copy of milestones.
• LO#2: Participants will learn how to electronically review and compare record copies
• LO#3: Participants will learn how to delete unwanted record copies.
• LO#4: Participants will learn how to Publish a Record Copy.

Action Items—30 minutes

In this training the Newforma user will learn how to leverage a place where all internal team members can view any open issue to engage the power of the project team in resolving action items quickly and effectively.

• LO#1: Participants will learn how to create and assign an action item from within Newforma Project Center.
• LO#2: Participants will learn how to create and assign a due date to a new action item from an email.
• LO#3: Participants will learn how to file emails to an existing action item.
• LO#4: Participants will learn how to filter the action item log and create reports.

Submittals—60 minutes

In this training the Newforma user will learn how to receive, review, track, and log submittals that are both electronic and physical.

• LO#1: Participants will learn how to log and track electronic and physical submittals.
• LO#2: Participants will learn how to forward electronic and physical submittals to other reviewers.
• LO#3: Participants will learn how to respond and stamp electronic submittals using the stamp tool.
• LO#4: Participant will learn how to create submittal reports.

RFIs—60 minutes

In this training the Newforma user will learn how to receive, review, track, and log RFIs electronically. You can log and track any question and answer them electronically.
 
• LO#1: Participants will learn how to log an RFI from an email or Info Exchange.
• LO#2: Participants will learn how to assign RFIs to other team members.
• LO#3: Participants will learn how to respond and answer RFIs.
• LO#4: Participants will learn how to determine and track any impact that the RFI may have on the project.

Project Administration—60 minutes

In this training the Newforma Project Center admininstrator will learn how to manage and configure Project Center and its project settings, servers, user accounts, global contacts, administrators, and Newforma Info Exchange Server and file transfer settings.

• LO#1: Participants will learn how to create projects in Newforma using a template.
• LO#2: Participants will learn how to establish global project settings.
• LO#3: Participants will learn how to gain access to Newforma support features.
• LO#4: Participants will learn how to establish accurate licensing access
