How to synchronize Newforma Project Calendars with your personal Outlook Calendar

If you have ever used one of those web-based project collaboration calendars, you were probably initially excited about the potential to get project teams aligned around a common schedule of events and milestones. However, you may quickly have found yourselves doing tons of double entry as you still needed to maintain these shared project events in your personal calendar in Outlook. As a result, you and your team ultimately abandoned the project calendar feature in the web-based tool. Sound familiar?

If so, you may want to take a look at the new Project Timeline activity center in the Fifth Edition of Newforma Project Center. Your team can use it to schedule or log project phases, tasks, meetings, phone calls and other custom event types into a project-specific calendar that is integrated with the rest of your project information.

Then, using the “Add to Microsoft Outlook and subscribe to updates” task, you and your team can subscribe to the project calendar and a project-specific calendar will be created for you inside Outlook.

The next time you start Outlook, you will see the project calendar in your Outlook calendar list:

Simply check the calendar on and you can view your personal calendar overlaid with any number of project calendars in a single view inside Outlook!
Importantly, you only have to subscribe to a project calendar once because the project calendar in Outlook will remain synchronized to the master project calendar in Newforma Project Center. In other words, any subsequent changes to your project calendars inside Newforma will be automatically reflected in your Outlook version of the project calendar.
