Can Newforma be “trained” to automatically create a sequential submittal number based on the spec

Absolutely. You must be a Newforma Global Administrator to do this. Go into Project Center Administration, select the Projects Tab. Highlight the project that you want to set the Submittal Auto-Numbering setting. Select “Edit Settings” from the Task Panel. Navigate to the Submittals Tab. Select the “Auto-Number” radio button on the Top left corner of the dialogue. See screen capture below.

In Seventh Edition we can now specify the name of the Newforma Items to File Folder in Outlook

To set this value you must be a Newforma Project Administrator.  To do this you would go into the Newforma Administration Console, Navigate to the Projects Tab.  To edit this setting select one of your project and then select Edit Settings from the Task Panel.  Go to the Admin* tab and on the lower right side of the screen, using the drop dn list select the option you prefer.

Did you know you can add a folder table to your project setup template?

When you create a new project in Newforma you can add a default project subfolder structure that will be created as your Newforma Project gets added.
To do this, just add the table shown below to your Project Settings default import template. Insert your folder structure between lines .

Solomon Cordwell Buenz wins CAN Do Award by pursuing new business

Like lots of architecture firms, Chicago- and San Francisco-based Solomon Cordwell Buenz pitches a lot of new business. When they relied on FTP to share files with partners and prospective clients, they had to set up a new FTP site for every project, because using just one site would have compromised confidentiality.

SCB interiorAssociate Principal and Director of Information Technology Steven Edwards, AIA, saw how Newforma Info Exchange would not only be easier to use than FTP, but would remove his department from having to set up FTP sites for every RFP and project development initiative.

The IT team set up a Newforma Info Exchange project just for SCB project development teams. Emails sent from Info Exchange contain hyperlinks from which recipients download documents. When SCB needs to be on the receiving end of a file transfer, SCB team members email a generic username and password to external team members. The login permits recipients to transmit files to anyone in SCB’s offices. 

The Info Exchange server does not bloat with files because it’s set to automatically delete files after they’ve been on the server for two weeks.  Security is much better than FTP solutions, too.

Steven and his team set up special Info Exchange sites for projects where information is more delicate and the needs are more robust.  Security is simple. You can determine who sees what. SCB controls distribution by setting users to only see the names and email addresses of selected team members. 

This use of Newforma Info Exchange promoted more widespread adoption of the Newforma Project Center solution as a whole. People reasoned, “If file transfers are this easy, what other processes could I streamline?”

For this very simple and elegant application of Newforma Project Center, SCB wins the Creative Adoption of Newforma – or CAN Do – Award. Congratulations to Steven Edwards and his team!

Newforma Chief Executive Officer Ian Howell has posted a brief history of the Newforma’s initial impetus and path to Series A funding:

“Cinco de Mayo 2010 was Newforma’s 6th birthday. It was on May 5, 2004, that we closed our Series A funding.

“The idea of starting a new business actually started a full year earlier, in May 2003, in the offices of Borealis Ventures in Concord, New Hampshire.

“I wasn’t there, but as the story goes, several participants left that meeting saying “No thanks, and don’t call me again.” Others, including Bob “Batch” Batcheler (now Newforma’s VP Industry Marketing and Product Management) and Larry Nuttall (now a partner with the Ascentage Group) , were inspired enough to commit...”

Ian Howell-Newforma:
Good Morning. Welcome to the Stagnito IPD Conference. I am happy to answer any and all questions regard either PIM or IPD and how the two are related.

Question 1:
Ian, for a small civil engineering firm (under 20 employees), how can your products benefit our firm?

Ian Howell-Newforma:
We have firms from 4 employees up to 2400 employees using Newforma to manage their project information.

Question 2:
Whether IPD or BIM, who “owns” the Newforma data, and who is responsible to keep it current. I know all participate, but by contract who owns and has risk?

Ian Howell-Newforma:
Every player owns their own data on their own central file server in their own folder structure - Newforma manages and shares all of that across the entire team.

Ian Howell-Newforma:
It is the combination of BIM + IPD (managing the information not in the model) that makes for successful IPD projects. For example, if you have seen the AIA IPD Case Studies, Newforma was used by participating companies on 5 out of those 6 projects grin

Question 3:
What do you suggest if some, but not all, team participants have Newforma Project Center? Does everyone have to subscribe/purchase to play?

Ian Howell-Newforma:
No!  That is the beauty of Newforma design. Newforma customers get the full benefits. Non-customers on the project team (whom we call “external team members” because they’re external to the firm that has implemented Newforma Project Center) can share info with Newforma customers thru web browsers for free.

Question 4:
When will Newforma run with 2010. I have been beta testing and it does not work with it.

Ian Howell-Newforma:
Newforma 7th Edition (announced on 4/16/10) supports ACAD and REVIT 2010 and 2011.

Question 4.1:
Sorry Ian, I meant to say when will Newforma run with Outlook 2010?

Ian Howell-Newforma:
It will, but MSFT have only shipped Exchange 2010. MSFT has not yet shipped Outlook 2010 and we will test it as soon as we can all get the final version (versus beta).

Question 5:
We have data into SharePoint and in file servers (classic organization). Can Newforma manage both data?

Ian Howell-Newforma:
Yes. Newforma’s search capability includes SharePoint libraries, wikis and project websites.

Question 6:
Ian, I have had experience using Constructware on projects for Document Management, but have not had the opportunity to utilize Newforma. Can you talk about what sets Newforma apart from other Document Management programs?

Ian Howell-Newforma:
Newforma keeps ALL of your data where it is today. No moving files into a vault or out to an extranet workspace. Also, the security model is your EXISTING windows-based permissions. No separate security model to set up and administer which is an exrat overhead with doc mgt and on extranets.

Ian Howell-Newforma:
Another important difference is that we index and search content. There is no additional burden to tag everything with meta-data for retrieval as with most Doc Mgt solutions.

Ian Howell-Newforma:
Newforma is about providing transparency and accountability between project team members. We believe that IPD is all about “trust but verify.”

Ian Howell-Newforma:
IPD requires more team members interacting sooner in the life of a project. That means lots more emails. Just what you all want - right grin

Ian Howell-Newforma:
So having a project information management (PIM) strategy to file and search emails is going to be even more imperative for IPD projects. This risk of relying on email back-ups and having decision trials on an email server separate from your project records, which are in your folder structure on your file server, being backed up regularly, will be increasingly imperative.

Ian Howell-Newforma:
Making sure that logs can be viewed by the entire team to track RFIs and Submittas versus being kept in manually updated spreadsheets will be key to success. In our view IPD is all about shared accountability so VISIBILITY for the team (not just the individual) is paramount.

Ian Howell-Newforma:
The problem we are all trying to manage is dynamically changing ad-hoc project information. Newforma Project Center is a proven PIM solution to address these IPD requirements. Newforma Project Center is helping 450 A, E and C firms with 40,000 licensed seats manage over 300,000 projects today!

Question 7:
If we have a multi-company project can we use Newforma Project Center?

Ian Howell-Newforma:
Yes. You can choose to set up a project domain (if the project is large enough) using Newforma Project Center. Or your firm can deploy Newforma and the other companies can see selected project information that you publish thru a browser.

Jennifer.Goupil MODERATOR:
Ian - later today (1:00 Eastern) Johathan Cohen will be discussing the AIA IPD Case Studies, when you say Newforma was used in 5 of the 6...in what capacity was the software used? Do you know?

Ian Howell-Newforma:
Jennifer. HGA and Kling Stubbins use Newforma on ALL of their projects (including the IPD projects).

Question 8:
Ian, when will the new version of Newforma be available for end-users?

Ian Howell-Newforma:
We are currently scheduling 7th Edition upgrades for existing customers now and any new customer would deploy 7th edition from the get-go.

Newforma Project Center on a Macintosh

Newforma doesn’t have a native Mac  OS/X version of our product.  But if you are a Mac user don’t despair – there are options that will allow you to run Newforma alongside your existing Mac applications.

Since Newforma’s product can’t run in the native Mac operating system, Mac users must have access to a Windows operating system.  There are two good possibilities:  First, you can create a virtual PC environment to run NPC on your Mac.  Second, you can use a remote desktop connection to access another computer running Windows.  I use both techniques frequently. 

The first method requires a desktop virtualization program.  I use VMware Fusion.  Running a copy of Windows in this environment requires a separate license for the Windows OS.   Once that is setup, you have a new computer running Windows inside of your Mac OS.   You can install and run any Windows application in this computer.  Newforma Project Center in a virtual Windows computer works just like the native Windows version, albeit sometimes more slowly.  Although I have no direct experience, I know several of our customers are also using Parallels as the virtual environment.   In both of these virtual environments it is possible to copy and paste between the two operating systems.  It’s also possible to get the Newforma window to display directly in the Mac OS.  These tricks blur the distinction between the two different operating systems.  Users can work quite seamlessly between applications running in Windows and applications running on the Mac OS.

The virtual environment can require a lot of memory – I wasn’t happy with my virtual computer performance until I added 8 gb of RAM to my Macbook Pro.  (I run a lot of applications and place a high demand on the system.  Other users may be able to get by with less RAM.)

The second method uses Microsoft Remote Desktop Connection Client for Mac to connect to an existing Windows computer.  The big advantage is that all computation is done on a different computer and there’s no additional load on the Mac.  Copy and paste between the computers still works.  Because performance is better, this is my favorite setup.  At Newforma we have a Windows Terminal Server that I connect to as my primary ‘Windows PC’.   This server can support many users simultaneously.  I use it to run Newforma Project Center plus a few other apps that aren’t available on a Mac.  This server has an external IP address, so I often connect to it when I’m out of the office too.   That connection can be way faster than our standard VPN connection since it only has to push pixels across the network.


Filing Email

Newforma can support filing project email using almost any email client.  I have been using the native Mac Mail client recently, but we’ve also tested with Entourage and other IMAP-capable email clients.  You can file an email just by dragging it to one of the folders in the “Items to File” folder structure within your email application.  These folders are created and managed automatically by Newforma.  The folder names map one-to-one to a users “My Projects” list, which is maintained by each user in Newforma Project Center.


The screenshot below shows the ‘Items to File’ folders in Mac Mail.   In this case, there is one email that has been dragged into the “engineering” folder that corresponds to my Newforma “engineering” project.  The Newforma Project Center server will automatically file this email during its next filing pass.

It’s also possible to file email by adding a project email address to any email that you send.  This is a new capability in Seventh Edition.  Newforma automatically creates and manages project Email Addresses, and all emails sent to them are routed to a single email account on your company’s main email server.  The Newforma server automatically files email that arrives at this account.

How do I add Project Team members to my Outlook Contacts?

How do I add Meeting requests to the Project Timeline Calendar?

If you receive a meeting request in Outlook,select the meeting request and on the Newforma toolbar in Outlook select File As a New Timeline Event. Choose the Project from the list and click OK. Any information that came from the meeting request will appear in gray and can not be edited in Newforma. You must edit the information in Outlook and update the changes. The meeting event will appear on the Project Timeline Calendar.

How do Internal Team Members enter New Submittals that have been posted to Info Exchange?

In 6th edition, if an external team member uploaded submittals to Info Exchange, then you can easily enter them into the Submittal Activity Center. You will receive a notification email once the submittal has posted. From the Info Echange Activity center, select the Pending Submittal in the Inbox and in the Task menu or double click to receive the pending submittal. Then you will see a window that allows you to Record this File Transfer as a New Submittal. Another window will appear and keep the radio button on a new Submittal and click OK. Finally, the Log an incoming submittal window will appear and anything the external team member posted will appear on the received files tab. Enter your Submittal ID number and any other information and click Log Submittal.

How do External Team Members Upload Submittals to Info Exchange?

In 6th edition,if an external team member has been given access to Info Exchange, then they can upload shop drawings and other submittals that may be too large to email.  They would simply login to the website and choose the project they would like to upload the submittal.  Then, they would select Contract Administration from the task panel and select Send a Submittal. They would enter the submittal ID, subject, and select the internal team member that is receiving the submittal. They can also add any remark. Finally, they would browse to select the submittal or a zipped file if there are multiple files and click Send Submittal.

Setting Who will Receive Newforma Administration Notifications

There are 2 settings in the Administrative Console defining who receives Newforma Administration Notifications.

These Notification include:
If your NPCS is disconnected from your Info Exchange
If you are running our of Hard drive space on your Info Exchange Server

To Set Who will receive these email notifications, you need to go into your Newforma Administrative Console, navigate to the Servers Tab, highlight your Newforma Project Center Server. In the General Tab on the lower left side of the screen you will see the area called Administrative Notifications. You can leave the default setting which will send these notifications to all Newforma Global Administrators or by selecting Explicitly Defined List from the drop down list and then add the specific emails, separated by a comma, in the box above this selection.

Adding Secondary Locations to your Projects

To add the secondary Locations to your projects you will open each project, edit it’s settings and add the secondary location.  To do this go into the Newforma Admin console, select the projects tab, double click on the project that you want to add the additional location to.  Select next to move to the second screen in the projects settings wizard.  In the top portion of this dialog you can select the add button then navigate to the unc path of the server location for this project data.

Update Your Logo on Info Exchange

To Change this you would want to be in the Newforma Admin Console. Select the servers tab, and then highlight the Info Exchange Server. On the General Tab, an the
right is where you can define your updated logo. It is pretty easy, all you need to do is point to the file, it can be on the desktop of the system you are doing this on, and Newforma will post it correctly on
your Info Exchange site.

Submittal Settings Changes

To change these settings it is easiest to edit one project, make sure the changes are the way you want them and then apply these settings across all of the rest of your projects.

To make these changes you will need to go into the Newforma Admin Console, select the projects tab and then select a specific project. Edit the settings on this project. These settings are on screen 6 of 8. I have included an image to help you get to the proper location to edit these.

    General Contractor started sending submittals electronically without being asked (video)

As you can imagine, this saved the internal project team a lot of time as they did not need to add the submittals to Newforma Project Center manually.

    Environmental Systems Design wins CAN Do award

    Chicago’s Environmental Systems Design has won our third Creative Adoption of Newforma “CAN Do” award. We appreciate ESD’s can-do attitude towards driving Newforma Project Center usage across every aspect of their business. We admire their approach so much, in fact, that we adopted aspects of it for Newforma’s training program.

    Vice President of IT Mark Andersen and his team developed short monthly training sessions on each Newforma Project Center activity center, one piece at a time. By keeping the sessions focused and short, they were able to drive usage deep within each activity center. I liked this idea so much I adopted it as our underlying training philosophy.

    Project Files usage streamlines workflow as it makes IT administration easier

    One area of high usage that separates ESD from the majority of other Newforma customers is their use of the Project Files activity center. Using the Project Files activity center masks the complexity of file servers and spares users from having to think about which servers their projects reside on.

    The fact that folks would find files via the Project Files activity center made life much easier when Mark’s team had to move projects from one server to another for load balancing purposes. Before Newforma Project Center, folks would have to learn where their projects went, but with Newforma Project Center, most of the time users did not even know their projects had moved.

    Mark admits that Windows Explorer works just fine for people managing one or two projects. He appreciates that Newforma Project Center does not require they use the Project Files activity center over Windows Explorer. But when folks are working on multiple projects, they save time and avoid frustration when they don’t need to know which file server has their project files.

    The Action Items activity center adapts to internal reviews

    ESD is very creative in using the Action Items activity center to drive their personnel review process. They create an Action Item for each employee, setting the due date in the Action Item as the review date. They attach review documentation to the Action Item as supporting documentation. Reviewers mark completed reviews as completed action items. HR runs reports to see who has and who has not finished their reviews, allowing HR to stay on top of this important internal process.

    Can you afford to look bad in front of your client?

    While reviewing Newforma Project Center (NPC), a Senior Principal told me of a time when he had several senior project team members spend a week looking for a critical document. Their client required this document in order to secure financing for a major project. With NPC, they would have found the document in a matter of moments, instead of several days, saving both the cost of having senior project team members hunting through mounds of information as well as the frustration of waiting for a week to satisfy their customer’s request.

    A principal at one of our customers loves the fact that he can answer questions from one of his clients while on the phone. He would get questions like: how many of this type of seats do we have in our project?  Prior to Newforma he would have to either open the documents in the CADD software or find the plans and start counting. This would require getting back to his client at some point in the future. With Newforma he now opens the drawing, points at one chair and Newforma automatically tells him how many of that chair exists all while the client is on the phone.

    One of our sales folks was visiting an engineering firm in Seattle providing the complete demonstration of Newforma Project Center, when one of the principles started to giggle.  Allen had to stop and ask him what was up.  The principal responded “now I get it!” He went on to say that whenever he was discussing a problem with some of their architectural co-consultants they always seem to be able to find that e-mail or the document that answers the question at hand.  He said I had just begun to think that I was stupid or just really disorganized; now I realize that they’re all Newforma customers!

    Newforma Project Center puts the fun back into work

    One user at M Moser pointed out that he came in on the weekend to do some work and opened up a Bentley Microstation file in Newforma Project Center (NPC); they do not own any copies of Microstation.  Our Account Manager asked him what he would have done if he did not have NPC – he flat out said he would have been there for 12+ hours recreating the drawing.

    Some of you are asking why he would not just download a viewer from the Internet? In this instance this particular person did not think of doing that. NPC eliminated the need to figure this out because our viewer simply worked with Microstation. So, instead of spending an entire weekend day recreating a drawing he was able to go home and enjoy his weekend. This is how NPC puts the fun back into work!

    What if I file an Email to the wrong Project? How do I file the Email to the correct Project?

    We are all human and make mistakes sometimes or at least I do,especially with so many distractions these days. So what if you accidentally filed an email to the wrong project, no reason to fret because you can easily search for the email or use the filters in the Project Email Activity Center to find the email that was misfiled. Then just simply drag and drop it back into your Microsoft Outlook inbox or right click on the email and copy and paste it back into your Microsoft Outlook inbox. Then, you can file the email to the correct project from Microsoft Outlook. Just remember to go back to the Project Email Activity Center that you misfiled the email to and select the email, then select Explorer Task from the Email Task Menu and select Delete to remove it from the wrong project.

    How Can I Get a Report with My Open Items for all of My Projects?

    If you are looking for a report that has items that are open to you for all your projects, then look no further! From My Project Center, simply select a project from your My Projects list. Down below, you will see the Project Activity Summary for the project that you have selected. The first tab shows all the Open Items for that specific project and in the team member filter your name should appear,if your name doesn’t appear just filter on your name. You can get a report for just that project by selecting Create Report. If you want a report of all your Open Items for projects, in the right hand corner of the Project Activity Summary area, select the arrow by View in Window, you will see My Projects or Select Projects, which will generate a report of all of your Open Items for the projects that you choose.

    How to Quickly Save Microsoft Office Files to My Projects

    When creating Microsoft office files, you can quickly save them to a folder on the project server for all your My Projects in Newforma. First, you will need to add projects from the All Project tab to My Projects in Newforma. When you are creating any Microsoft Office file and you select Save As, you will see the My Newforma Projects button in the list. You can quickly navigate to the folder of your choice to save the document in your project files.

    How to find Duplicate Files and Folders

    Newforma will find duplicate files and folders on your project server that may be taking up unnecessary space. In order for Newforma to consider the files a duplicate,they must have the same name,sizes, and modified date.  In order for a folder to be considered a duplicate folder, all the files within the folder must have the same name, size, and modified dates as another folder.

    Select the Project Files Activity Center and select the root folder of the Project,then from the Folder Task,select Utilities/Find Duplicate Files

    How Newforma Project Center saves time and reduces risk by providing a quick answer

    One of our Account Managers (AM) told me a story from a recent customer visit. This customer told him that Newforma Project Center (NPC) saves their butt every day. So our AM asked how NPC had saved their butt that day?  They told them him a contractor claimed our customer never sent them the latest set of drawings.  Our customer checked the Info Exchange activity center where they noted NPC recorded the contractor had downloaded the materials in question. They then searched the Project Email activity center to see if there were emails from the contractor. They found 18 emails from this contractor on the set of drawings they claimed our customer never sent!  Our customer created a nice record from the history tab in Info Exchange and Project Email to help “jog the memory” of the contractor.

    Our customer did mention they could have found the information using their old pre-NPC systems but it would have taken over 30 days due to the number of people they would have to involve because the information would have been stored in multiple systems. They would have had to ask the team members to search their InBox and ask IT to search the log files on the FTP site.     Newforma Project Center saves customer from a 3x increase in cost for seats in a large coliseum

    A Newforma customer who was involved in a large Coliseum project used Newforma Project Center (NPC) search to avoid a serious potential project failure.  In a meeting, the seating manufacturer out of the blue told them that the seats they have specified were going to cost three times the original cost our customer had planned on.  The chair manufacturer claimed that that was the price they had given six months before.  Our customer left the meeting did a search using NPC found the original quotes from the manufacturer from six months before printed them. They then went back to the meeting calling the manufacturer on the change resulting in the manufacturer having to revert back to their original quote.

    2. In the Search field, create a search query that finds all the projects you want to export.
    3. In the Options dialog box on the Activites tab uncheck all the boxes, you will then want to configure the Groups tab so that the only group is project number.
    4. The columns tab should have the following Columns enabled:

    Long Name
    Status
    Project Type
    Description
    Project Manager
    Client Name
    Project Address1

    Then Preview the report, select Download Report from the top, choose the Excel Data format.

    If you are experiencing one or more of the issues described below, you should consider updating to the Update. There are no new pieces of functionality or enhancements in the Update.

    Not getting the results with the carrot, get out the stick!

    Newforma is pleased to present OWP/P with our second Creative Adoption of Newforma “CAN Do” award. We appreciate OWP/P’s “CAN Do” attitude towards driving Newforma Project Center usage across every aspect of their business. Email, Search, and several other areas of Newforma Project Center took off quickly but the one part of the solution that did not was Newforma Info Exchange (NIX).

    To help “encourage” folks to give NIX a try, Joseph Talamantez (Director of IT) decided on a two pronged approach. First, he told the team that .DWG files were no longer allowed as attachments to emails. Same held true for public folders. Second he turned off the company FTP site. After these two steps folks were lining up outside his door for NIX training and they have never looked back!!

    A third initiative to drive adoption and usage of Newforma within OWP/P was to set up “Departmental Projects” in Newforma Project Center.  Says Talamantez, “our HR, Business, Facilities and IT departments all have their own projects.  HR uses NIX to send secure info to vendors for instance.  IT uses Action Items to assign help desk tickets.  In addition, our professional groups which include Healthcare, Education and Corporate now all have their own departmental projects for shared marketing, knowledge management and email access.”

    As a Newforma Global Project Administrator, You have the ability to toggle the correct access to the activities in Newforma.  To do this go to the Newforma Admin Console, Switch to the Project Center Users Tab, select(ctrl to select multiple) the individual or individuals that you need to edit, r-click and select “Modify License”.  Select Express or Professional, set whether the user is should be an Global Administrator, If a user needs access to Submittals and RFI’s (to log or modify) the user must have a professional license and then you can select the Construction Administration box and this will allow that user or those users to Add or modify any Submittal or RFI.

    You were in the United Kingdom not long ago. Are the jokes about British cuisine justified?

    Well, I like all food, so if there’s any joking to be done, it’s usually about the range of my appetite.

    Your trip reports made much of “bangers and mash.”

    It’s just sausages and mashed potatoes with gravy, but each dish was different, depending on location. I guess it’s not surprising; mathematically, just a handful of seasonings will have lots and lots of combinations as you vary the ingredients and proportions.

    So you ate pub grub the whole time?

    Mostly. Even when I ate at the home of Tim Bates, Newforma’s director of Europe, Middle East and Africa operations, his wife, Beverly, made a shepherd’s pie. It was outstanding.

    I take it you liked it.

    It made me want to herd sheep. It was that good.

    Aside from the food, what else was different in Britain?

    Not much, really. People were concerned about the economy, same as in the U.S. The same project information management problems that bug people in the U.K. are the problems that bug people here.

    Did you do a lot of training?

    Yes, and I trained the trainers. I’m reading a book that’s influencing Newforma training. It’s called “Made to Stick: Why Some Ideas Survive and Others Die.” [by Chip Heath and Dan Heath]. It tells about an experiment between tappers and listeners.

    Excuse me?

    Experimenters broke people into two groups, tappers and listeners. The tappers had to tap out the rhythms of familiar tunes and listeners had to identify the tunes. The experimenters asked the tappers to estimate what percentage of songs would be guessed correctly. The tappers estimated listeners would be able to identify 50 percent of the tunes, but only 2.5 percent were guessed correctly. That’s the curse of knowledge.

    The curse is that if you know what you’re doing, you assume other people will figure it out, also.

    Correct. Tappers heard the songs in their heads, but listeners lacked that advantage.

    How does understanding the curse of knowledge affect the way you train people to use Newforma Project Center?

    Tappers vs. Listeners says most people are trying to convey information at a level that’s too high or too abstract for the audience to understand. So I focus on the 10 percent of the information people will understand.

    What’s that 10 percent?

    Email, Search, View, Markup and Info Exchange. We make sure everyone who leaves the room knows how to use Email and Search functions. A few will get the Viewer and Markup. One will get Info Exchange. Do that, and you’ve sown seeds that’ll get others going.

    And that takes how long?

    We do it in 60 minutes, which is not long, but we still use a technique picked up from “Made to Stick” to keep people engaged: At the outset we present a mystery around project information management. “Made to Stick” calls it a knowledge gap. It makes people curious to know the answers.

    Like a murder mystery, when you want to know who did it.

    Right, but in this case, you want to know how to do it. The who is you, and you’re wondering, “How am I going to get all this work done without killing myself?”

    Project Timeline calendar subscriptions fail to update

    Newforma would like to pro-actively make its customers aware of an issue that has been encountered with Project Timeline functionality.  Specifically, the issue impacts project team members subscribed to project calendar via Info Exchange (see Project Timeline to Microsoft Outlook and Update It Automatically for more information on that process).  When events in the calendar are updated, those updates can cause Info Exchange to stop publishing updates to calendar subscribers.

    There is a VERY quick and easy fix to this issue which would need to be executed one time on your Info Exchange server.  If you would like to receive this fix, please send an email to requesting the “Update for the MySQL stored procedure for Project Timeline”.  The Support team will send you a transmittal with the necessary instructions and executables to perform the fix.

    Note: Newforma has released an updated version of Newforma Sixth Edition (6.1.1.3142) which does not require this post-processing step to be taken.  Please see the Newformant post entitled Newforma Sixth Edition Update for more information on this Update.

    Project Move Update

    Newforma Project Administrators and IT folks please take notice:

    Newforma has recently identified some additional information regarding the “Project Move” process which expands upon a couple of earlier posts entitled Dissolving “Project Move” myths and Project Move.

    The nature of the latest finding revolves around moving Newforma projects manually.  In the past there was documentation in our Help system which provided steps for moving projects and project data and then manually informing the Newforma Project Center Server where the new location of the Newforma project file (.npr) was located as well as manually adjusting the location of the project data within the Newforma project file.  For many use cases, like moving completed or obsolete projects to an archive server, this process was fine.  However, for projects that had transfers pending on the Info Exchange server, the process of moving a project manually could break the link to those transfers.

    As a result, Newforma has updated its documentation to ensure that the “project move” and “project repath” utility is used for all project move occurrences to ensure that all of the links and associated data are properly maintained.  The help documents are located here:

    It remains critical that the steps in these processes are followed to the letter, specifically around the concept of truly “moving” data rather than “copying” it as this tool is designed for projects which have been moved on your network, not copied!  This is a critical distinction and can cause the process to generate more work for you if the proper steps are not followed.  There is a Learn Topic on the Newformant called Dissolving “Project Move” myths which describes the process in-full and explains how to manage the caveat of copied data as opposed to moved data.

    When printing files or combining files into a single .PDF, you can set the order for publishing by dragging and dropping the order of the files.  In Project Files or Document Sets, select the files for publishing and then select Publish in the Task menu on the left.     How do I enter a meeting/appointment from Outlook to the Newforma Project Timeline Calendar?

    In Outlook, You can file meetings/appointments as a new Timeline event that will appear on the Project Timeline Calendar.
    When creating the meeting in Outlook, on the toolbar select the down arrow on the Send and File in Project button.  Select File as a New Timeline Event and the Create a New Project Event will appear.  The information that is created from Outlook will appear in gray and cannot be edited.  Newforma keeps the integrity of the source information and therefore must be edited in Outlook.

    How do I remove files off Info Exchange before the expiration date?

    Maybe you posted the wrong files or maybe the files have been revised and you want to remove the previous version of the files and before you post the new version and the files have not expired off Info Exchange.  In any case, you can make the files expire prior to their expiration date by simply going to the Info Exchange Activity Center. Then, go to the Outbox and select the files that need to expire and in the Task select Modify Info Exchange settings.  Select Remove Content from Info Exchange Server and the files will expire immediately.

    How do I add my Submittal Responses so they appear in the action menu?

    In the Project Setup, on set 6 of 8, at the bottom of the page you can map your submittal responses to Newforma’s submittal responses.  For Example, you can map what you considered an approved submittal to “Approved.” In this example, Approved, Approved as Noted, and No Exception are considered an Approved Submittal and will appear in the Approved filter in the submittal activity center.  Click the add button to map your submittal responses.

    Basic Automated File Items Troubleshooting

    Currently, one of the more common questions coming into the Newforma Support team revolves around Project Email; more specifically Automated File Items.

    In an effort to remain as pro-active as possible, Newforma Support would like to share some knowledge and tools to help you understand and better manage questions and concerns as they arise from your users.

    The symptom most often seen with regards to Automated File Items is when messages in a user’s “Newforma – Items to File” folder do not appear to be filing for long periods of time.

    This issue may be occurring for all users, or it may be happening for just a few users at a location.  The sections below address each case.

    No user’s messages are being filed

    If messages are not being filed for any user in the location, there is likely an issue on the Newforma Project Center Server to which those users connect.

    A quick check in the Project Center Administration console can help you identify how the problem is affecting all of your users:

    Each piece of data could indicate a specific problem, but here are a few specific lines to look at first.  The “Total items filed” will indicate how many items have been filed since the service started (likely at 5:00am that day).  If there have been messages filed, Automated File Items was working for someone.  The “LoggedOn” line indicates if the server thinks it is properly logged onto Exchange.  If this is false, you should check the Outlook profile in the service account on the server.  If “Last scan completed” is not fairly recent, then the service may have terminated unexpectedly.  Look on the server to see if the Newforma processes are still running.  The “Email accounts successfully processed” indicates how many users the Automated File Items process was able to process without error.  If this is greater than zero, the problems are related to specific users rather than with the entire server.

    Although there are several possibilities on what might be going on in these cases (e.g. MAPI issues on the server… don’t install Exchange System Manager on your NPCS, the NPCS service account’s email address being configured incorrectly, Redemption.dll conflicts), there is one which is fairly common and simple to check.

    1. While logged into the Newforma service account on the Project Center server, open “Control Panel”
    2. Select the “Mail” tool to set-up or configure Email Accounts
    3. Select the “Email Accounts…” button

    4. Choose to “View or change existing e-mail accounts”
    5. Select the NPCS Exchange account configured for the Newforma deployment
    6. Chose to “Change…” this account
    7. Make sure the “Use Cached Exchange Mode” option is not checked and accept the changes

    8. Navigate to C:\Documents and Settings\\Local Settings\Application Data\Microsoft\Outlook. 
    9. Create a temp folder and then move all of the files in the Outlook folder (with the exception of any .pst files) to this temp folder to effectively delete the cached data.
    10. Stop and start the Newforma Project Center Server service.

    Individuals’ messages are not being filed

    If the server looks like it is doing what it should be doing and individuals are still not getting their items filed, the issue may be on the individuals’ machine(s).
    There are a few simple things to check which can resolve several issues:

    1. The user may simply not have the “Automated File Items” option turned on.  Even if the option is turned on, you can turn it off and turn it back on again, which should alert the server that this user is enabled for Automated File Items:

    2. While Automated File Items will file messages related to Action Items, it will not file messages related to Submittals and RFIs.  These must be filed manually using the “File in Project” button on the Newforma toolbar so that the user can create a Submittal Reviewer Response or RFI Answer if necessary.

    3. There have been times when emails actually do file from a users “Newforma - Items to File” folder, but they are not cleared from the folder by Microsoft Outlook.
    To test to see if this is the case, perform a search in Newforma or browse the Newforma Email Activity Center to see if a message which appears to not have filed is, in-fact, in Newforma.
    The most likely cause for this scenario is an out-of-date cache folder on the client’s machine.  Although Cached Exchange Mode is highly-recommended on the client side, there are times when the server data and the client cache do not perfectly match.  Changes made by the Automated File Items process are not reflected in the client cache for unknown reasons.  Microsoft’s cache implementation never revisits these messages, so it will never update the cache correctly after this problem has occurred.  In these cases:

    a. In Newforma Fifth Edition:

    • Exit Outlook
    • Navigate to C:\Documents and Settings\\Local Settings\Application Data\Microsoft\Outlook. 
    • Create a temp folder and then move all of the files in the Outlook folder (with the exception of any .pst files) to this temp folder to effectively delete the cached data.
    • Restart Outlook

    b. In Newforma Sixth Edition:

    • Click the “File Items” button from the Newforma toolbar in Outlook to re-file the messages in the cache and clear them from the “Newforma – Items to File” folder.

    4. Newforma only supports certain types of Outlook objects.  The issue may be as simple as the user is expecting the service to manage objects which it simply cannot.  In this case a bit of re-education or training may be required to properly set the expectations of users experiencing this “problem”:

    a. Newforma Fifth Edition supports the filing of:

    • email messages
    • tasks
    • posts
    • appointment/meetings
    • meeting requests

    b. Newforma Sixth Edition supports the filing of most Outlook Item types including all of the above as well as:

    • contacts
    • distribution lists
    • journal items
    • reports (e.g. non-delivery receipts)

    Items not on the above lists will not be filed via automation.  Items not on the above lists can sometimes be filed by using other methods, but Newforma can’t guarantee anything about how they are displayed or behave within Newforma Project Center.  Sixth Edition likely supports all of your project-related email.

    Conclusion

    This document has outlined some common problems in Automated File Items, but there are other problems that can occur on both the client and server related to filing your email messages.  If these suggestions do not solve your problems, first search the Support Knowledgebase for other solutions.  If you continue to have problems, contact Newforma Support and we will diagnose and resolve any problems you still have.

    How to Search a set of Search Results in 6th Edition

    How to Filter the Project Folders by file type

    Do you know that you can filter the Project Files by the file type?  In the Project Files activity center, you can choose the file type that you are looking for by clicking the down arrow by All Project Files. After you select a file type filter, you can use the icon to find and select the next project folder containing the selected file type. Use the icon to find and select the previous project folder containing the selected file type.

    How to File an Email to an Existing Action Item

    Did you know that you can file an email to an existing action item?  If you receive an email that should be part of the communication on a particular action item, then you can file it seamlessly from Microsoft Outlook.
    Select the email in Microsoft Outlook and select File in Project on the toolbar. Choose the Project that the email is concerning. Under File In, select the radio button by Another Project Location then click the ellipsis and choose the existing Action Item from the list and click OK.  This ensures that all the communication about this particular action item is linked.

    How to use Wildcards to Search your Data

    Did you know that you can use wildcards to search your data?  Putting an asterisk behind a word replaces 0 or more characters so that you can find all incidences of the text containing the root word.
    If you wanted to find any document that contained the word light and any text containing the word light you can employ the use of the asterisk character.

    You can also use a wildcard to exclude words from your search.  If you wanted to find all documents that contain the word conference but not the word table you can employ the use of the minus character.

    Edit out all settings except for the set that you want to apply to your other projects.  The example below contains the Submittal Action Table only.  Note: Make sure you leave the start and end flags for the table, noted in yellow.

    In the Administration console, in the Projects tab, select all of the projects you want to apply these settings to and select the Apply Project Settings link in the task panel.

    How to customize your own Form Templates

    What is a Form Template?  Where are the files and how can I customize them?

    A Form Template is the output form you would have had as a Word Document or an Excel spreadsheet prior to Newforma Project Center. 

    There are 22 unique output forms that can be customized.  These reside on your Newforma Project Center Server in: \Newforma\Templates\Sixth Edition folder. 
    To customize you Newforma Form Templates you will need to have Microsoft’s InfoPath 2007.

    How to print the notes and your Markups for a Markup Session

    Go into the Markup Sessions Activity Center.  Filter the log to view the Sessions you would like the report to cover.  Select the “Create A Report” link in the Task Panel.  Select the format type that you would like your report to be created in.  Then navigate into the Formatting tab and select by checking the box, to Display Report Details when available.  This will generate a detailed report for your Markup Session(s) selected.

    How to Setup a Custom Logo for your Form Templates

    To point to your custom logo for your InfoPath forms please edit the logo style call in your standard form setup in the Newforma Administration console.  To do this please follow the following steps:

    1. Go to the Admin Console
    2. Navigate to the Servers Tab
    3. Navigate within the Servers Tab to the Template Style tab

    5. Point this URL to the location on your NIX Server to the new logo.
    6. This will change the logo for all of their forms for consistency.

    SWBR Architects shows their CAN Do attitude with The Biggest Loser contest

    Newforma is pleased to present SWBR Architects with our inaugural Creative Adoption of Newforma “CAN Do” award. We appreciate SWBR’s “CAN Do” attitude with an adaptation of NBC’s popular TV show The Biggest Loser. Similar to the TV show SWBR is encouraging their employees to lose Inbox “weight”. The goal of this program is to instill good email management habits during the initial rollout of Newforma.

    Each month, for 4 months, two prizes will be given.  The first prize goes to the employee that reduces their Outlook Exchange Box size (KB) by the highest percentage from month to month.  The second prize goes to the employee that has the highest percentage reduction in the number of emails in their Outlook Exchange Box from month to month.  The prizes are a choice of two movie tickets or an equivalently valued carwash.  At the end of the four months, there will be two grand prizes of gift certificates to area restaurants/businesses.

    Unlike actual weight loss, the reduction of email Inbox size (in KB or total number of email) is not visible. As such, SWBR prints the attached spreadsheet in poster size and places it on each floor of their building in highly visible locations.

    Newforma presented SWBR with both a certificate as well as one free remote training session. We appreciate their willingness to share their creative way of encouraging their employees to leverage Newforma in reducing their Inbox as well as help the firm manage risk.

    Sharing Work Between Offices Using Newforma Project Center

    The team working on a single AEC project is often spread between multiple offices of a company. Our customers often ask about best practices for sharing project information in this type of environment. This document is an overview of the available options.

    Many Newforma customers have multiple office locations, each connected by a wide area network (WAN). An example deployment scenario is shown in the figure below. In this example, the customer has two offices. The Main Office has a Newforma Project Center (NPC) Server as well as a Newforma InfoExchange server. The Remote Office also has its own file server and NPC Server.

    When project teams are all located in the same office, things are very straightforward. Newforma projects are created on each office’s NPC Server, each NPC client and server refers to a set of files on the local office file server, and performance is optimal. NPC users only rarely have a need to open projects at other office locations, and any performance issues associated with remote office access are not critical.

    Things get more interesting when project teams are split between offices. This scenario is becoming more and more common because of economic conditions that require AEC companies to fully-utilize their available staff, and because of network infrastructure improvements that allow shared work between offices.

    Since WAN connection speed can significantly affect application performance, customers are often interested in understanding the configuration options available for supporting remote office teams. There are several possibilities, each seeing some customer use today.

     

    Access Projects Remotely

    When there is a high-bandwidth, low latency connection between offices, accessing projects by opening them across the WAN may have acceptable performance without any configuration changes. However, WAN performance varies widely among our customers.

    At the high end of the performance spectrum, an MPLS network may be used between corporate offices. (See http://en.wikipedia.org/wiki/MPLS for a description of this technology.) Some of our customers with this type of network connection report virtually no difference in working locally versus working on projects hosted at another office location.

    It is more common to find a standard IP Internet connection, T1 class or better, connecting customer offices. These connections are then used to create a VPN tunnel between offices. (See http://en.wikipedia.org/wiki/VPN for a description of this technology.) This configuration may offer reasonable speed, if the offices are not located far apart, if bandwidth is sufficient, and if routers are optimally configured. However, physical distance and the number of ‘hops’ required to reach a remote office can often create a fairly slow WAN experience. In general, if users aren’t satisfied with WAN speed when editing CAD or other office documents, they will be disappointed with NPC performance when accessing Newforma projects across the WAN.

    Adding WAN optimization products can improve the performance of a standard IP connection between offices. (See http://en.wikipedia.org/wiki/WAN_optimization for a description of this technology.) Many of our customers are using products such as Riverbed Steelhead appliances to improve network performance. We have used these devices at Newforma too and use them for testing NPC performance across the WAN. See Riverbed configuration for one important Riverbed configuration issue.

     

    Use File Replication

    File replication solutions are available which provide a transparent, automated way to keep files synchronized between offices. The big advantage to file replication is that all project data is available locally and can be accessed at LAN speeds. Multiple copies of each file exist, one at each office location, which can be useful as part of a disaster recovery strategy. Some file replication solutions keep all versions up-to-date by transferring only the changed bytes each time the file is saved. This creates less network traffic as compared to full file copy solutions.

    The leading technology in this area is Microsoft Windows Distributed File System (DFS), which is part of the Windows Server operating system. See Distributed File_System (Microsoft) for a description. Another vendor that is often used by our customers is GlobalScape, which acquired Availl and rebranded the technology as GlobalScape WAFS (http://www.globalscape.com/wafs/). GlobalScape adds the capability to enforce Windows file-locking across a WAN.

    There are restrictions to file replication when used in conjunction with NPC projects. Newforma Project Center, like most database applications, relies on exclusive write access to a coordinated group of data files in a single location. This access paradigm can’t be supported by file replication. Consequently, customers cannot use NPC to operate on replicated Newforma project data. (This restriction applies to the “.prj” files and all the contents of the Newforma data directory with the same name as the “.prj” files.) Note that replication of these Newforma files only for disaster recovery purposes is supported.

    Some replication solutions can provide the same UNC path to files at each office location. Even though users at both offices refer to the same UNC path, the file is served up from the file server closest to the end user. Recall that NPC users must open the single copy of the Newforma project data that has not been replicated. In this type of WAN environment, certain NPC operations will be faster than if NPC were used across the WAN without local file replication. Since Newforma stores file references as UNC paths, all file references resolve to the locally replicated version automatically and as a result will have improved performance. For example, a user that selects a file from the NPC Project Files activity center for editing will operate on the local version of that file. Search results refer to UNC file paths that will resolve to local files too.

     

    Create a separate project for remote office use

    Project work is often divided in some way between office locations. For example, a remote office might work on the structural design of a project while the main office is responsible for the rest of the project. In these cases, it can be reasonable to create a separate Newforma project at the remote office site. That project can be used by remote office team members for project information management on the subset of data being edited at their location. Remote office users may be able to work with the local project for most of their day-to-day activities. If they need to refer to the main project, it would be opened over the WAN. This approach can be effective both with and without a separate file replication solution.

     

    Sharing project email with remote office projects

    Some customers create separate projects for remote office use, but setup file replication so that project email can be shared between the related projects. This works because the Newforma Project Email activity center creates its view of project email by ‘summarizing’ all of the .msg files found in the project folders. If file replication is used to copy email messages stored by each project into a folder visible by the other project, email messages filed from either project will be displayed in both projects.

     

    Future Plans for Newforma Remote Office Support

    Newforma is committed to further improvements in remote office project support in future versions of our product. We are developing a Project Mirror feature that will work in conjunction with customer-supplied File Replication. This feature will allow remote offices to have a read-only cache of the Newforma project data stored on their local NPC server. This capability should allow WAN users to have NPC performance similar to main office users.

    Customers often don’t know what level of performance to expect when using Newforma Project Center. This can lead to wasted time looking for optimizations that aren’t possible. Even worse, customers might ignore slowness simply because they don’t know that a configuration change could make things much faster. What follows is a list of benchmark operations that we have performed at Newforma headquarters. We hope that this list will be helpful when used as a comparison for customers wondering if their system is optimally configured.

     

    The performance of Newforma Project center is dependent upon a long list of variables. Not only is the Newforma application deployed on servers and desktop computers, each with their own performance characteristics, but it is also sensitive to other common desktop applications and enterprise anti-virus solutions. Network speed and latency can drastically affect many operations. In addition, project data sizes vary dramatically across our customer base, and larger amounts of data will often affect performance too. Because of these factors, it’s really hard to know if a Newforma deployment is performing optimally.

    The Newforma team frequently gets asked about expected performance. Posting some examples of what our engineering team typically sees in-house seems like a good way to set some benchmarks for comparison. If your experience is significantly different from the cases below, we suggest contacting Newforma support - it’s possible they’ll be able to help configure your environment for improved performance.

     

    Indexing Performance

    Newforma indexing speed is primarily dependent upon the Newforma Project Center Server hardware and network connection speed to the file server hosting the project files. It is also highly dependent upon the content being indexed. In the test below, the NPC Server is a Dell 1950 two-processor (8 core) Xeon E5420 running at 2.50 GHz. It has two 15k 146 gb SAS drives configured as RAID 1. (This system scores 6966 on the Passmark CPU benchmark, see http://www.cpubenchmark.net/ for additional details.) We purchased this server for $2800 in November of 2008.

    Newforma can disable our search Catalog Scheduling feature on NPC servers with 8 cores. This option allows all catalogs to index simultaneously, resulting in a higher search index throughput. On servers configured in this manner, indexing performance is typically limited by the server disk speed. In this case, a direct attached storage array with multiple spindles becomes beneficial.

    In our performance tests, the content being indexed is actual project data collected from Newforma customers. It is a mix of files typically found in AEC firms that is broken into 57 projects, containing 1.1 million files, consuming 600 GB of disk space. The table below shows the time to create a 100% indexed search catalog in a variety of configurations.

    The amount of data an individual NPC server can index varies widely based on the content being indexed. It is dependent mostly on the “unique text density” of the files. We commonly see 1-2 tb of data in up to one million files indexed by a single NPC server. Some customers have as much as 5 tb of data indexed by a single server, although this number is above the typical limit.


     

    File Transfers

    Transferring a file from an NPC client to InfoExchange is usually pretty quick. Exceptions can occur if the InfoExchange computer is at a remote location. In this case, you will likely be limited by your location’s external network bandwidth. If your local area network transfers are slow, see the performance tips section below on how to create an alias to improve transfer speeds.

    Transferring a file to or from InfoExchange when using a computer outside of your local intranet is typically limited by the external network bandwidth.

    (The WAN times are for opening a moderately sized project located in California, from a client located in the New Hampshire office. Our New Hampshire office has a 5 mbs network connection, with 100 ms latency to the California server. The connection uses a Riverbed Steelhead network accelerator.)

    Switching Activity Centers: Typically no more than a few seconds, even for very large projects

    Opening an action item, RFI, or Submittal containing 200 emails: This performance has been significantly improved in Sixth Edition.

    Searching for a text phrase: Searching a 20 gb project containing over 200,000 documents for a phrase matching 141 documents took 40 seconds.

    Outlook: Outlook startup is affected when the Newforma plug-in is installed. This increase in startup time is largely due to loading the .Net programming framework. Newforma’s Outlook plug-in code does relatively little work during startup. (When the plug-in is initializing, you’ll see a Newforma progress bar.) The Newforma plug-in should not noticeably affect Outlook runtime performance.

    Performance Tips

     

    Indexing Performance

    See the Newforma hardware requirements specification for information on our recommended NPC Server configurations. In general, fast CPUs with multiple cores can make a big difference in the indexing speed.

     

    The disk where the Newforma search catalogs are being created should be a high performance disk, particularly if catalog scheduling is disabled. A 10k RPM SAS drive is a good minimum. IDE or Serial ATA devices will not keep pace with large search catalogs. Some level of RAID is a requirement.

     

    The performance of the file servers that contain files being indexed will also have an effect on indexing service performance. Faster fileservers will improve the indexing performance. Slow NAS devices can be a significant liability. Indexing across a WAN is not supported, and can often lead to indexing database corruption.

     

    A gigabit network connection between the file server and NPCS can significantly improve indexing performance.

     

     

    Info Exchange address resolution

    Access to Info Exchange from NPC and NPCS always has to occur using the common name provided on the SSL certificate (ex. infoexchange.newforma.com). If no special alias is setup this will resolve at a customer site to the externally facing IP address. This is not typically the quickest route to the server as many customers will have an alternate way to address servers in the DMZ. Below is a "tracert" to infoexchange.newforma.com from our internal network without any special alias. With an alias this might be reduced to a single hop and drastically improve upload/download performance for the NPC user.

    A couple of suggestions as to how to create the alias:
    -   Put the direct address of the Info Exchange server into the /etc/hosts file on each NPC client. This can be done with a domain policy to push the file to the client so it does not have to be manually edited.
    -   The domains DNS server could setup an alias infoexchange.newforma.com to point to the direct address
     
    Anti-virus exclusions on NPC, NPCS and Info Exchange

    Our deployment documentation talks about the areas of the servers to exclude from anti-virus scanning. Many AV programs will scan files on demand as they are accessed. This is a real detriment to performance and can cause data corruption in the worse case. Please consult the deployment documentation to ensure the correct exclusions are setup on the clients and servers.
     
    Additional software on NPCS and Info Exchange

    Our servers are developed and tested as dedicated servers. Our specifications call for a dedicated server for NPC. Still, some customers don’t follow our recommendations. While our software will be compatible with most other software, performance may suffer if the other software is using too many system resources. Using Task Manager and Performance Monitor is a good first place to check when a server is performing slower than expected. This will quickly identify any processes that are using resources. Our NPC servers have several processes that are part of our solution (N4, ProjectCenterServer, mysql, extractor processes). Info Exchange has only a couple (w3wp and mysql). Any significant use of resources by other processes is worth investigating.
     

    Network and Remote (WAN) Projects

    Opening projects across a WAN can result in a significant performance hit. Customer experiences vary widely in this area. Some customers, with good MPLS network connections between offices, report almost no difference in performance between WAN and local projects. Other customers may find the slowness affects them so much that working in this mode is not reasonable. Significant improvements in WAN performance are being worked on for the next release of NPC.

    Virtual Servers

    Virtual servers are markedly slower than physical servers. Newforma currently does not recommend deploying NPCS in a virtual environment. If your virtual machine is slow, consider deploying on non-virtual hardware.

    Introduction
    Newforma is finding that more and more of our customers want and need to move project data either in an ad-hoc manner or as part of standard process as a project moves through its life-cycle.  Starting in Fifth Edition, Newforma provided tools to allow for projects to be moved through batch commands which allowed this process to be automated to some extent.  Before taking on a mass project move, it is very important to understand the components which need to be considered as well as some critical requirements.

    Terms
    For the purposes of this discussion, it is important to make a distinction between “Newforma Data” and “Project Data”. 

    • Newforma data includes the Newforma project file (.npr file) and hidden folder of the same name as the project which contains the project’s meta-data similar to below.

    • Project data consists of project specs and documents (.doc, .pdf, etc.), cad documents (.dwg, .dgn, .dxf, etc.), project email, etc.
    • When it comes to moving data, Newforma can manage both of these components (Newforma data and Project data) separately and independently.

    Moving Newforma Data and Project Data
    For a vast majority of our customers, the Newforma data and project data are managed in the same physical location on the file server, similar to below.

    Notice that the “N – Newforma” folder (which includes the Newforma data) is contained alongside all of the other project data for this project. For these cases, when project data is moved, the Newforma data is moved as well.

    In some cases, the Newforma data is managed separately from the project data.  Sometimes in a different folder on the same file server, sometimes on a separate file server all together.  For these cases, if project data is moved, the Newforma data is not moved.

    Because there are two possible methods by which Newforma data can be located (either with or without its project data) two separate tools need to be created to manage the movement of project data:

    1. Notifying and Updating the Newforma Project Center Server of a move

    2. If Newforma data has been moved along with project data, it is necessary to inform the Project Center Server that the Newforma data is in a new location so that when users attempt to open that project via Newforma Project Center, it directs them to the correct location on the file server to open the project.  There is a command line utility which the Newforma Support team can provide which performs a mass update to the Newforma Project Center Server informing it of the recent move(s).

      If Newforma data is not contained within the project data and was not moved, this step of notifying the server is not necessary

    3. Repair Broken Project Folder Links (after the move)

After the project has been moved, the links within the project to the project folders, project email folders, transfer folders, etc. need to be repaired to reflect the new location of the project files.  There is a command line utility which the Newforma Support team can provide which performs a mass update to the Newforma projects informing them of the recent move.
    “Move” not “Copy”

    The tools mentioned above have been designed to help manage Newforma data and project data when it has been moved!  From a Newforma perspective, moving Newforma data is fundamentally different than making a copy of it.  Copies of Newforma project data are really just considered links or shortcuts to the Newforma data’s original location.  Making a copy of the Newforma data and opening that file, in fact, just opens the original project and transforms the copy to be a link back to the original.  This functionality was developed to manage the inadvertent copying of data that can sometimes occur on a file server.

    When planning to move data from one location to another, it is critical to either perform a true move of the data OR otherwise back-up the original data in a new location on the file server.  If the Newforma Project Center server is able to “see” the Newforma data in its original location when performing a notification and update of a “move”, it will consider the “moved” projects “copies” and convert them to pointers back to the original data; even if that original data is going to be deleted once a move has been proven to be successful.

    The most effective way to avoid this pitfall is to simply move the project data in the first place (rather than copy it). 

    However, Newforma recognizes the desire to ensure a safe and successful data transition before removing the original.  In these cases, after the copy is performed to the new location (and before running the command line utilities mentioned above) simply rename the location in which the original data is located.  In the example project provided above, renaming the project folder itself, or a higher folder in which the project folder is located (presumably along with many other projects being moved) can solve the issue.

    Please note that prior to the release of the 6.1 Update it was not sufficient to remove or rename the share from which the project data has been copied.  Newforma would simply assume that the share or file server is temporarily down, assume the projects are still in the original location and convert the copied projects to pointers back to the original location.  It was necessary to rename the folder on the share in order to inform the Newforma Project Center Server that the data has in fact been moved and not copied.  As of the 6.1 Update removing the server and/or share on which the original file are located is supported.

    Conclusion
    The tools provided to help assist in the project move process are extremely effective when they are well understood.

    Please note that the tools provided with Newforma Project Center Server Fifth Edition contain a defect which can impact how the record copies of Transmittals and Submittals are managed after the move.  For this reason, it is recommended that you contact Newforma Support for an updated version of this tool (n4.exe) prior to performing a project move process if you are using Newforma Fifth Edition.
